Getting Started With and Using SMARTWORK

Available in Classic and VPC

Once you've noted the supported environments and requirements for SMARTWORK, you're ready to start using SMARTWORK. The next thing to do is to request subscription for the SMARTWORK service. You can request subscription to the SMARTWORK service and manage your subscription in NAVER Cloud Platform's console.
SMARTWORK is supported on PC web and as a mobile app for your convenience. Users can download and install the mobile app to easily and flexibly use it for work in real time, wherever and whenever.
The following summarizes what you can learn from the start guide.

This guide explains how to request subscription for the bundle consisting NAVER WORKS and WORKPLACE. Individual product subscription is handled from the console of the corresponding product. For ways to request subscription for each product individually, refer to the following.

Request SMARTWORK Subscription (Request Free Trial)

The following describes how to request subscription for the bundle consisting NAVER WORKS and WORKPLACE from the NAVER Cloud Platform console.

Caution

When you request subscription to SMARTWORK, you are automatically subscribed to a free trial version and able to use it for 30 days free of charge. However, once the free trial period ends, you can no longer log in to each product service in the SMARTWORK solution, and all data saved in each service is deleted. For the safe management of your data, switch to a paid plan before the 30-day free trial period expires. Please refer to Switch to Paid Plan for how to switch to a paid plan.

  1. Please connect to the NAVER Cloud Platform console.
  2. Click the Solutions > SMARTWORK menus, in that order.
  3. Click the [Request Free Trial] button.
  4. In the solution subscription page, click the [Request Subscription] button in the NAVER WORKS + WORKPLACE bundle subscription request area.
  5. When the subscription request page appears, proceed with the following steps in order.

1. Select Product

Select the bundle that you want to subscribe to, and then click the [Next] button.
For detailed information on available bundles and supported features, please refer to Supported Features by Bundle.

2. Enter Basic Information

Click the [Next] button after entering the account information and basic information.

The information required upon subscription and subscription procedure vary according to the product. When selecting the NAVER WORKS Lite product, you can select the group name and domain name, and for Basic and Premium, you need to set the domain.

Note
  • A domain is information that becomes an address on the internet. It is a classification that indicates a specific company or organization. You can log in with the domain name in the form of an email address if you use a domain in the NAVER WORKS Lite + WORKPLACE Basic bundle.
  • A group refers to a group of members that can communicate or collaborate in the group unit, such as projects or clubs. If you're not using a domain, then you can sign up using personal ID@group name.
  • When using a domain name

    • Access URL (Company ID): Enter the unique access URL you can use to directly access the WORKPLACE of the company account, and then click the [Check for Duplicates] button to check if that URL can be used.
    • Domain Name: Enter the domain name you want to use in NAVER WORKS and WORKPLACE, and then click the [Check for Duplicates] button to check if that domain name can be used.
      • Click the [Domain Guide] button to check the details of the domain registration.
    • Admin ID/Admin Password: Enter the ID and password to be used as the admin account in NAVER WORKS and WORKPLACE.
      • The ID to be used for the login is Admin's personal ID@domain name.
      • You can manage both NAVER WORKS and WORKPLACE with one admin account.
    • Country: Select the country where your business place is located. Currently, SMARTWORK can only be created in Korea.
    • Time Zone: Select the time zone. The time zone based on the country information is displayed by default.
    • Default Language: Select a language. The initial settings will be configured in the selected language.
  • When using a group name (when selecting NAVER WORKS Lite)

    • Access URL (Company ID): Enter the unique access URL you can use to directly access the WORKPLACE of the company account, and then click the [Check for Duplicates] button to check if that URL can be used.
    • Group Name: Enter the group name you want to use in NAVER WORKS and WORKPLACE, and then click the [Check for Duplicates] button to check if that group name can be used.
      • Click the [Group Name Guide] button to check the details of the domain name registration.
      • You can change the group name from the Basic Settings > Manage Company Information menu in the NAVER WORKS Admin page.
    • Admin ID/Admin Password: Enter the ID and password to be used as the admin account in NAVER WORKS and WORKPLACE.
      • The ID to be used for the login is Admin's personal ID@group name.
      • You can manage both NAVER WORKS and WORKPLACE with one admin account.
    • Country: Select the country where your business place is located. Currently, SMARTWORK can only be created in Korea.
    • Time Zone: Select the time zone. The time zone based on the country information is displayed by default.
    • Default Language: Select a language. The initial settings will be configured in the selected language.

3. Agree to Terms and Conditions

Read the Terms and Conditions, agree to them, and then click the [Agree and Get Started] button.

4. Complete Request

Check the details, and then click the [OK] button.

Note

It may take up to 1 minute to set up. We will send you a notification email to the admin email address when it is completed.

Upgrade to Bundle

When you use the SMARTWORK solution with a bundle, you can upgrade to higher-level bundles with more features provided than the bundle you're currently using.

The following describes how to upgrade a bundle.

  1. Please connect to the NAVER Cloud Platform console.
  2. Click the Solutions > SMARTWORK menus, in that order.
  3. Click the [Upgrade] button.
    • If the current bundle is the top-level product, the [Upgrade] button is not displayed.
  4. Select a product, and then click the [Next] button.
  5. Check the upgrade details in the upgrade confirmation pop-up window, and then click the [Upgrade] button.

It may take up to 1 minute to upgrade. We will send you a notification email to the admin email address when it is completed.

Change Individual Products to Bundles

If you're using the SMARTWORK solution with an individual product, you can switch to the NAVER WORKS + WORKPLACE bundle.

The following describes how to change an individual product into a bundle.

  1. Please connect to the NAVER Cloud Platform console.
  2. Click the Solutions > SMARTWORK menus, in that order.
  3. Click the [Change Solution] button.
    • You can also click the [Request Subscription] button in the area of the product applicable for bundle, which you haven't subscribed to, check the bundle details in the Switch to Bundle pop-up window, and then click the [Request Bundle Subscription] button.
    • WORKBOX can only be subscribed as an individual product.
  4. Select a bundle, and then click the [Next] button.
  5. Click the [Next] button after entering the account information and basic information.
    • Issue Initial Password: Enter the account password.
      • Set by User: Enter the email address to receive the invitation email and an instruction email will be sent to that address. The employee can reset their password directly from the link in the instruction email.
        Set by Admin: The admin sets the password. The admin shall pass the initial password they set to the employee, and the employee must change the password when they log in to NAVER WORKS and WORKPLACE.
  6. Read the Terms and Conditions, agree to them, and then click the [Agree and Get Started] button.
  7. Check the details of the completed request, and then click the [OK] button.

The method for changing individual products to bundles is same as requesting subscription for the SMARTWORK solution bundle (requesting free trial), excluding the initial password issuance settings upon entering the basic information. For more information, refer to Request Subscription (Request Free Trial).

Note

It may take up to 1 minute for the product bundling. We will send you a notification email to the admin email address when it is completed.

Switch to Paid Plan

Once the free trial period ends, you can no longer log in to each product service in the SMARTWORK solution, and all data saved in each service is deleted. To continue using the service, you need to switch to a paid plan before the free trial period expires.

The following describes how you can switch to a paid plan for each product of the SMARTWORK solution.

Note

Please refer to Product Types and Pricing Plans for more information about pricing plans.

  1. Please connect to the NAVER Cloud Platform console.
  2. Click the Solutions > SMARTWORK menus, in that order.
  3. Click the [Set Up] button in the area of the applicable product that you're using.
    • You can also select the product from Services > Business Applications, and then click the [My Product] button of the product in the Left Menu.
  4. Click the [Switch to Paid Product] or [Switch to Paid Plan] button in the My Product menu of each product.
  5. Follow the paid conversion procedure of each product and complete the paid conversion task.

Cancel Service

You can cancel the SMARTWORK solution subscription from the NAVER Cloud Platform console.

The following describes how to cancel the service subscription.

Caution
  • Once you cancel SMARTWORK, all user logins for SMARTWORK will be restricted, and all stored data will be permanently deleted.
  • Back up data from each service before cancelling (recommended).
  • When cancelling while using an annual pricing plan, charges for the discounted amount and 10% of the amount for the remaining days will be incurred as the cancellation fee pursuant to the Terms and Conditions of the service.
  • Service fees other than these charges will be charged separately.
  1. Please connect to the NAVER Cloud Platform console.
  2. Click the Solutions > SMARTWORK menus, in that order.
  3. Click the [Cancel Subscription] button.
  4. Select the service you want to cancel, enter the Cancel the selected service's subscription. text in the field of the pop-up window, and then click the [Cancel] button.
    • The subscription for the selected product is canceled, and all data is deleted.

Admin Access and Settings

You can access the Admin page in each of the NAVER WORKS, WORKPLACE, and WORKBOX service, and quickly set key management items.

The following describes how to access the Admin page.

  1. Please connect to the NAVER Cloud Platform console.
  2. Click the Solutions > SMARTWORK menus, in that order.
  3. In the SMARTWORK dashboard, click the [Admin] button in the area of each product.
    • You can also click the [Set Up] button in the area of each product.
    • When accessing through other paths, refer to the guide for each product.
  4. Follow the steps in the Admin Settings page or Settings Wizard of each product to complete the settings.

Use Service

Please refer to the individual product guides to learn more about how to use NAVER WORKS, WORKPLACE, or WORKBOX service.

Note
  • NAVER WORKS + WORKPLACE Bundle

    • NAVER WORKS service menus such as Mail and Calandar are provided in the WORKPLACE top menu.
    • Once you log in to WORKPLACE, you can use the NAVER WORKS service without an additional login.
    • You can easily check approval requests and absence schedules of WORKPLACE in NAVER WORKS.
    • The organization and member information is integrated into WORKPLACE for management. You can only view the status in NAVER WORKS (excluding specialized NAVER WORKS features such as group and device security).
    • The Mail and Drive services are not provided for the NAVER WORKS Lite users.
