Synchronizing organizational information to WORKBOX

Available in Classic and VPC
Organization connection means syncing the client company's organization and employee information with the organization information in WORKBOX. The organization information that can be connected is job grade, job position, department information that makes up a member's properties, and employee information that makes up the member information.
When the connecting organization task is completed, the changes in organization and employee information from the client company's enterprise information system are automatically updated in WORKBOX without needing to separately change them.
Connect job position
The job position can only be viewed in the Manage employees menu in WORKBOX, and it can be managed in the client enterprise information system. Job positions can be connected as follows.
- Access the console in NAVER Cloud Platform.
- Click Services > Business Applications > WORKBOX.
- Click Developers > Connect organization > Job position.
- Click the selectable item and change it to ON.
- Default: OFF
- When the job position connection is set to ON, the job position information is automatically displayed in WORKBOX's Manage > Member > Basic information settings
- When the job position connection is set to ON, the job position can be only viewed from the Basic information settings screen of WORKBOX, but can't be deleted, have the order changed, saved, or canceled
- If the connection is not needed for job position, then set the preference to OFF
- Connect job positions in WORKBOX and enterprise information system.
- External key mapping
- Click the [Download] button to download the form
- Enter each position's external key in the downloaded Excel form, and then click the [Attach files] button to upload. The key value is set on the screen if the upload is successful
- The external keys should be registered, based on the job position information currently saved, and the connection task can't be done if existing job position information is added, changed, or deleted in the external key mapping stage.

Connect job grade
The job grade can only be viewed in the Manage members menu in WORKBOX, and it can be managed in the client enterprise information system. The job grade can be connected as follows.
- Access the console in NAVER Cloud Platform.
- Click Services > Business Applications > WORKBOX.
- Click Developers > Connect organization > Job position.
- Click the selectable item and change it to ON.
- Default: OFF
- When the job grade connection is set to ON, the job grade information is automatically displayed as a list in WORKBOX's Manage > Member > Basic information settings.
- When the job position connection is set to ON, the job position can be only viewed from the Basic information settings screen of WORKBOX, but can't be added, have the order changed, deleted, saved, or canceled
- If the connection is not needed for job grade, then set the preference to OFF.
- Connect job grades in WORKBOX and enterprise information system.
- External key mapping
- Click the [Download] button to download the form
- Enter each grade's external key in the downloaded Excel form, and then click the [Attach files] button to upload. The key value is shown on the screen if the upload is successful.
- The external keys should be registered based on the job grade information currently saved. The connection task can't be done if existing job grade information is added, deleted, or changed in the external key mapping stage.

Connect department
The department can only be viewed in the Manage members menu in WORKBOX, and it can be managed in the client enterprise information system. Departments can be connected as follows.
- Access the console in NAVER Cloud Platform.
- Click Services > Business Applications > WORKBOX.
- Click Developers > Connect organization > Job position.
- Click the selectable item and change it to ON.
- Default: OFF
- When the department connection is set to ON, the department information is automatically displayed in WORKBOX's Manage > Member > Basic information settings
- When the department connection is set to ON, the department can be only viewed from the Basic information settings screen of WORKBOX, but can't be added, have the order changed, deleted, saved, or canceled
- If the connection is not needed for department, then set the preference to OFF
- Connect departments in WORKBOX and enterprise information system.
- External key mapping
- Click the [Download] button to download the form
- Enter each department's external key in the downloaded Excel form, and then click the [Attach files] button to upload. The key value is shown on the screen if the upload is successful.
- The external keys should be registered, based on the department information currently saved. The connection task can't be done if existing department information is added, deleted, or changed in the external key mapping stage.

Connect employee
The employees can only be viewed in the Manage members menu in WORKBOX, they can be managed in the client enterprise information system. Employees can be connected as follows.
- Access the console in NAVER Cloud Platform.
- Click Services > Business Applications > WORKBOX.
- Click Developers > Connect organization > Job position.
- Click the selectable item and change it to ON.
- Default: OFF
- When the employee connection is set to ON, the employee information is automatically displayed in WORKBOX's Manage > Member > Basic information settings.
- When the employee connection is set to ON, from the Basic information settings screen of WORKBOX the employee can be only viewed, but can't be added, deleted, have the order changed, saved, or canceled
- If the connection is not needed for employee, then set the preference to OFF.
- Connect employees in WORKBOX and enterprise information system.
- External key mapping
- Click the [Download] button to download the form
- Enter each grade's external key in the downloaded Excel form, and then click the [Attach files] button to upload. The key value is shown on the screen if the upload is successful.

Organization connection placement flow
After the organization information is connected between the two systems, sync through the placement task of each item.
It is recommended to place the organization connection by day, in the order of job grade, job position, department, and employee. In case of failure in any stage, a rollback process should be applied according to a client company's internal policy. However, it is recommended to keep proceeding with it if only part of placement (part of organization) fails within one stage. If a whole stage (whole organization) fails, then stop placement.
