    In WORKBOX service preferences' Security, you can set related options that members can use in a safe environment without security threats to the content in WORKBOX.

    Caution

    Service preferences > Security is a menu exclusively for WORKBOX administrators. It is not shown in regular users' WORKBOX screen.

    File security

    The file formats that can be downloaded, uploaded, or shared are limited in WORKBOX to prevent the inflow and spread of malware. Downloading, uploading, and sharing of files with the selected extensions are blocked on PC web and apps. The following describes the procedure to set file security.

    1. Click the Service preferences> Security menu on the left side of the screen.
    2. Click the [File security] tab menu.
    3. Set the required information.
    • File formats to block: set file formats to block downloading, uploading, and sharing on PC web and apps
    • Basic extensions to block: select the file format to block
    • Additional extensions to block: add other extensions that are not in the file format to block by entering them manually. (Up to 200 extensions can be added.)
    1. Click the [Save] button.
    Caution
    • For safe use of WORKBOX, it is recommended to select all basic block extensions that are likely to have security vulnerabilities.
    • When changing the file security settings, it may take up to 1 hour for the changes to be reflected in the actual service.

    Network security

    Accessing WORKBOX through a network whose safety is not validated may pose a serious threat to security. Therefore, for network security you can separately specify and manage IP addresses or countries that allow access to WORKBOX, or those which do not allow to access WORKBOX. However, there are a few restrictions as follows:

    • Administrators are allowed access regardless of the network security settings for stable service management
    • Mobile apps are allowed access regardless of the IP access allow/restrict settings

    The following describes the procedure to set network security.

    1. Click the Service preferences> Security menu on the left side of the screen.
    2. Click the [Network security] tab menu.
    3. Set the required information.
    • Access permission/restriction setting: specify IP addresses and countries that will allow or restrict access to WORKBOX
      • Accessible from all places: allow access from all IP addresses and countries
      • Accessible from designated IPs only: allow access from a specific IP address or IP range when accessing from PC web or apps
        • List of IPs allowed access: add IP address or IP range to allow access
      • Set allowed/restricted countries: allow or restrict the access from specific countries
        • Select country: select country to allow or restrict
    1. Click the [Save] button.

    Admin recycle bin

    This is a space where the folders (files) permanently deleted from Deleted content are stored. You can permanently delete the folders (files) that are in storage, or download them onto the local system. The following describes the procedure to manage admin recycle bin.

    1. Click the Service preferences> Security menu on the left side of the screen.
    2. Click the [Admin recycle bin] tab menu.
    3. Check the required information.
    • Content name: name of the folder (file) permanently deleted from Deleted content
    • Created by: name and email address of the user who initially added the folder (file) permanently deleted from Deleted content
    • Deleted location: location of the folder (file) permanently deleted from Deleted content before deletion
    • Size: size of the folder (file) permanently deleted from Deleted content
    • Folder type: displays the type of the folder permanently deleted from the Deleted content, classified as a Shared folder or Personal folder
    • Creation date: date of initial creation for the folder (file) permanently deleted from Deleted content
    • Deleted date: date on which the folder (file) was permanently deleted from deleted contents
    1. Proceed with the necessary task.
    • If you want to permanently delete a folder (file) deleted from deleted contents: click Delete permanently.
    • If you want to save a folder (file) permanently deleted from deleted contents in the local system: click Download.
    • If you want to set cycles by which a folder (file) deleted from deleted contents is permanently deleted: click the [Set deletion cycle] button.
    1. If you want to only search and check the information you want, set the content name, created by, folder type, creation date, and deleted date and click the [Search] button.
    Caution
    • The list of the latest logs is refreshed when you click the [Reset] button.
    • Even if you select Delete immediately as the auto deletion cycle, it may take up to 1 hour for it to be completely reflected in the system.

    Manage access

    You can manage the types of devices and their access statuses used by the members including administrators. You can manage them as follows:

    1. Click the Service preferences> Security menu on the left side of the screen.
    2. Click the [Manage access] tab menu.
    3. Check the required information.
    • Auto Login Setting: if auto login is allowed, members can use auto login in the WORKBOX PC app. (See Auto login)
      • In order to prevent authentication evasion for security reasons, if the administrator does not allow automatic login, its use is restricted even if the member sets automatic login.
    • Name: name of the user who has an access record
    • Email: email address of the user who has an access record
    • Job grade: job grade of the user who has an access record
    • Job position: job position of the user who has an access record
    • Department: department to which the user who has an access record belongs
    • Mobile app: whether the user with an access record has the WORKBOX mobile app installed
    • PC app: whether the user with an access record installed the WORKBOX PC app
    • Access status: click the [View] button to view the device and web session information of a user who has an access record
      • Click the [Remove] button to remove a connected device.
    1. If you want to only view the information you want by searching, then enter the name and email and click the magnifier icon.
    Caution

    The list is refreshed to the latest access records when you click the [Reset search] button.

    Allow customer center access

    There are cases where access to customer information is required in the process of looking for causes and solutions of a failure that occurred while using WORKBOX. Accessing customer information in such cases is done only after getting customer consent.

    Caution

    The Company (NAVER Cloud) shall have access to the information only for the purpose of access, and shall not to be held liable for any issue unless there is serious negligence on the Company's part.

    The following describes how to give or withdraw consent.

    1. Click the Service preferences> Security menu on the left side of the screen.
    2. Click the [Allow customer center access] tab menu.
    3. Check the access purpose, information, and period, read the precautions thoroughly, and place a check mark next to I agree.
    • Unmark the checkbox after the failure has been resolved to block the customer center again from accessing customer information.
