Available in Classic and VPC
The user can set detailed conditions required while using WORKBOX such as security level, sharing link standard, permanent deletion level, folder (file) version control, sync, etc., at user preferences under WORKBOX service preferences.
Service preferences > User preferences is a menu that is only accessible by WORKBOX admins. It is not shown on the WORKBOX screen for regular users.
Account security
The following describes how to set account security related options.
- Click the Service preferences > User preferences menu at the left side of the screen.
- Click the [Account security] tab menu.
- Set the required information.
- Password level: Set login account's password for account security
- Set password difficulty: Set the password to be entered as a combination of English letters and numbers, or of English letters, numbers, and special characters
- Set password expiration date: Prompt to change the password when a certain period passes from the date when the password is set
- Set recently used password usability: Set it so that the most recent 1 to 5 passwords can't be used when setting a new password after the password expiration date
- Set password length: Set the password to be between 8 and 20 characters (if the input language is English)
- Suspend account temporarily when login fails: Set the maximum number of login failures before suspending the account temporarily in case of consecutive login failures
- Web session control: WORKBOX web settings for account security
- Unused session standby: Set how long to maintain a web session's login without user input, and log out automatically when the set time is exceeded
- Use two-factor authentication: Set whether to use two-factor authentication to log in for account security
- Two-factor authentication use status: If set to enabled, then a verification code is sent via SMS every time the user logs in. The verification code becomes invalid if it is entered wrong 5 times.
- Click the [Save] button.
Control link sharing
The following describes how to set options related to sharing links.
- Click the Service preferences > User preferences menu at the left side of the screen.
- Click the [Control link sharing] tab menu.
- Set the required information.
- Set external link sharing: Set whether to enable link sharing to outsiders who are not WORKBOX users
- Disabled: From Set sharing conditions > Outsider access permission in Share link. Only the WORKBOX member only option is available.
- Enabled (Use OTP): From Set sharing conditions > Outsider access permission in Share link, there are two options, namely, WORKBOX member only and Share externally (OTP authentication).
- Set link expiration date: Set the expiration date until when the sharing link is valid
- Click the [Save] button.
Control deletion level
The following describes how to set permissions to delete permanently, and the options related to automatic permanent deletion.
- Click the Service preferences > User preferences menu at the left side of the screen.
- Click the [Control deletion level] tab menu.
- Set the required information.
- Permanent deletion permission: Select the user level who can use the permanent deletion feature from Only system admins and Admins and users
- Set permanent deletion: Set whether to use the automatic permanent deletion. If enabled, then select a point in time to run the automatic permanent deletion
- Click the [Save] button.
Version control
The following describes how to set options related to version control of folders (files.)
- Click the Service preferences > User preferences menu at the left side of the screen.
- Click the [Version control] tab menu.
- Set the required information.
- Version control: Choose whether to use version control. Previous versions of folders (files) on top of the latest updated version are separately kept by version if Enabled is selected
- Version retention period: Select the period to retain the previous version if the version control is used
- Click the [Save] button.
If using the version control, then the folders (files) by version are included in the total capacity used.
Sync settings
The following describes how to set sync options in the WORKBOX app on PC with WORKBOX web.
- Click the Service preferences > User preferences menu at the left side of the screen.
- Click the [Sync settings] tab menu.
- Set the required information.
- Sync settings: Choose whether to allow the sync
- Click the [Save] button.
