Employees' clock-in and clock-out times are calculated as work hours. You can manage late clock-in, early clock-out, and obligatory work (core time).

    Manage Working Employees

You can specify the applicable working employees by work arrangement so that employee can clock-in/out according to their own work patterns.
Multiple types of work arrangement can exist in one company. (Example: rotating shift for production team, flexible shift for sales team, and fixed shift for HR team)

The following describes how to specify employees by work arrangement.

    1. In the WORKPLACE PC web page, click the [Service Menu] > [Attendance] button.
    2. Click Work > Manage Working Employees menu.
    3. Click the [Edit] button.
    4. Specify employees by application date and work arrangement, and click the [OK] button.

When applying the changed work arrangement, the company determines the work arrangement through a written agreement with the employee representative. Generally, the application date starts from a specific date in the future, but the changes can be applied immediately if needed.
        • If a reserved change exists, you can edit the reserved change, but can't reserve another change. You can reserve another change after the application of the reserved change.
        • Even if the application date is not arrived, an employee who is assigned to report approval of work schedule method can register the work schedule of the dates after the application date in advance. (See Add Work Schedule)
      • Work Arrangement/Working Employee: Assign employees or departments by work arrangement and specify the appropriate employees.
        • When selecting a department, its subdepartments are included.
        • If the company has enabled part-time employee, the part-time employees are included in the Search Employees, and you can assign work arrangements to part-time employees.
        • If you want to set a single work arrangement for all employees, you can enter the top level department to specify it. In this case, the same work arrangement is applied immediately to the new employees as well.
        • Even when an work arrangement targeting all employees has been applied, you can apply different work arrangements to subdepartments and individuals. The priority of applied work arrangement is in the following order: individual → subdepartment → parent department.
      • To delete a department or employee, click the [X] button next to the department or employee name.
    5. Check the details in the confirmation pop-up window, and then click the [OK] button.
    6. Make sure that the changes are reflected properly in the list on the Manage Working Employees page.
      • If employees have clocked in/out on that day, it does not affect the clock-in/out records of the employees who clocked in/out today. The changes are reserved, and reflected starting on the next day. The scheduled changes can't be canceled or edited.

        Note

To edit employees who use the "Report Approval of Work Schedule Method" of Select a Set Time to Clock-in/out or Flexible Clock-in/out:

To apply Clock-in/out at a Fixed Time, set the work day schedule, which is general work hours. Employees who do not clock-in/clock-out during general work hours can be marked as late, and admin can manage employees who are late.

When employees request absence schedules, the corresponding time will be the basis of "all day."
        • Maximum Extension Time Allowed: By default, 12 hours per week is entered and it is editable by hour. Under the Korean Labor Standards Act Article 53 (Restrictions on Extended Work), work hours may be extended up to 12 hours per week. c. 2-week or 3-month Unit Planning

2-week or 3-month unit planning refers to a flexible work hour system. It is a system where if work hours are extended for a specific week (day) while reduced for another week (day) during a set period of time (2 weeks or 3 months), to keep the average work hour of certain period within the legal work hours (40 hours per week). By not allowing the work hours of specific week/specific day to exceed the limit, you can assign work hours more flexibly and this feature provides systematic support for such planning.

The following describes how to set work arrangement using 2-week or 3-month unit planning.

    1. In the WORKPLACE PC web page, click the [Service Menu] > [Attendance] button.
    2. Click the Work > Manage Work Arrangement menu.
    3. Click the [Work Arrangement] tab.
    4. Click the [Add] button.
    5. On the Add Work Arrangement page, set your work arrangement and click the [Save] button.

When employees request absence schedules, the corresponding time will be the basis of "all day."
        • Maximum Extension Time Allowed: By default, 12 hours per week is entered and it is editable by hour. Employees are not allowed to clock in/out for hours exceeding the maximum work hours.
        • Work Hour Plan (if 2-week unit is selected): Enter the work hours. 48 hours per specific week is entered by default and can be edited by hour. Under the Korean Labor Standards Act Article 51 (Flexible Work Hour System), working overtime in a specific week is permitted as long as the average work hours of a unit period under 2 weeks does not exceed the legal work hours (40 hours per week). However, work hours in a specific week can't exceed 48 hours. If work hours in a specific week exceeds the legal work hours (40 hours per week), work hours of another week must be reduced.
        • Work Hour Plan (if 3-month unit is selected): Enter the work hours. 52 hours per specific week, 12 hours per specific day is entered by default and can be edited by hour. Select a Set Time to Clock-in/out

This is an arrangement where employees work by selecting a clock-in time slot. You can set multiple workday schedules (general work hour time slot) with time differences. Employees clocks in after selecting the time zone to be reflected in the clock-in/out time. Regardless of the employee's actual clock-in time, the general work hours based on the schedule set by the company are recognized as the hours worked. For instance, if you go to work at 07:45 AM and select 08:00 Am - 5:00 PM from the clock-in/out time slots set by the admin, you must work until 5:00 PM to be recognized as fulfilling the general work hours. Moreover, overtime work is reflected as overtime if approved in the work result form.

"Report Approval of Work Schedule" method allows you to select a work hour slot set by the admin and organize your own work schedule. When the work schedule document submitted is approved, you can clock in and out according to the approved work schedule.

When employees request absence schedules, the Daily Standard Work Hours will be the basis of "all day."
        • Night Work Hours: By default, 10:00 PM - 6:00 AM is entered, and it is editable by hour.
        • Don't Work on Public Holidays and Predetermined Holidays

          • If this option is selected, then the employee doesn't work on "public holidays and predetermined holidays," and they can't create an absence schedule on those days.
          • If this option is deselected, then they work on "public holidays and predetermined holidays" as well. Since the public holidays and predetermined holidays are not applicable, the workday/holiday/day off standard set in the work arrangement of the individual is followed.
          • If the company uses the Attendance service, the weekly holidays and weekly days off information set under Admin > Settings > Manage Company Holidays menu is not utilized. When setting up a work arrangement, set up recurring holidays by specifying the appropriate holidays and days off for that work arrangement. Under the Korean Labor Standards Act Article 55 (Holidays), an employer should allow workers at least one paid holiday per week on average.
          • Holidays refer to paid days off (e.g., Children's Day) provided when Calendar by Country is enabled in Manage Company Holidays menu.
          • Predetermined holidays refer to anniversaries set by the company (e.g., company's foundation anniversary).

          • This option is disabled by default. If you come to work later than all the clock-in time slots, only latest time slot can be selected.
          • When selected, you can select any time slot, regardless of the clock-in time.
      • Check Environment: Select clock-in/out check environment.
        • PC: The user can leave the clock-in/out record from Home > Clock-in/out widget. As WORKPLACE uses the public network which employees can access anywhere, you can change settings so that employees can only enter clock-in/out records from your company's private network.

        • If you only allow checking in from company's business place or part-time employee workplace, select Within Certain Radius of the Business Place and Workplace and enter a distance.
      • Mandatory Work: Set the usage status of mandatory work. The company can specify the hours that employees are obligated to work, which is also called core time.
        • When setting Mandatory Work to Use, select the applicable day of the week.

        • Enter star at and end time of work hours. Entering time is not mandatory.

        • If mandatory workdays are enabled, you do not need to enter mandatory work start and end time. Working for over 1 minute on corresponding days is considered compliant to mandatory work.

Clock-in/out checks are available after the report approval of edited work schedule is completed.

    Note

An employee who uses the report approval of work schedule method for flexible clock-in/out, clock-in/out checks based on the requested work schedule is recommended. You can clock in/out at a different time, and the work hour is calculated based on the actual clock-in/out times.

The following describes how to set the report approval of work schedule method.

    1. In the WORKPLACE PC web page, click the [Service Menu] > [Attendance] button.

    2. Click the Work > Manage Work Arrangement menu.

          • Maximum extension time allowed x (number of days in settlement period/7 days) = maximum work hours for the settlement period (round-off decimals)
          • If you select one week, settlement calculation begins on Sunday, which is the first day of the week.
          • If you select 2 - 4 weeks, settlement calculations begin on Sunday of the week when work arrangement was created.
          • If you select 1 month, monthly start date entered becomes the start date.
        • Base Work Hours: By default, 40 hours per week is entered as the base work hours per day, and it is editable by hour. Under the Korean Labor Standards Act Article 50 (Work Hours), the work hours should not exceed 40 hours per week.
        • Maximum Extension Time Allowed: By default, 12 hours per week is entered and it is editable by hour.
