    If you've checked the supported environments and required specifications for WORKPLACE and duly noted all scenarios and terms, then you're ready to start using WORKPLACE. The first thing to do is to subscribe to WORKPLACE. You can request and manage subscription to WORKPLACE in the NAVER Cloud Platform console.
    WORKPLACE is supported on the web and mobile app for your convenience. Users can download and install the mobile app to easily and flexibly use it for work in real time, wherever and whenever.
    The following summarizes what you can learn from the start guide.

    Subscribe (Request Free Trial)

    The following describes how to request subscription to WORKPLACE from the NAVER Cloud Platform console.

    Caution

    When you subscribe to WORKPLACE, you are automatically subscribed to a free trial version and able to use it for 30 days free of charge. You can switch to a paid plan any time during the 30-day free trial period. For the method of switching to a paid plan, see Switch to Paid Plan.

    1. Access the NAVER Cloud Platform console.

    2. Click the Services > Business Applications > WORKPLACE menus, in that order.

    3. Click the My Products menu.

    4. Click the [Request Free Trial] button.

    5. When the service subscription page appears, proceed with the following steps, in that order.

      Note

      Click the [Subscribe] button from Services > Business Applications > WORKPLACE in the NAVER Cloud Platform portal to go directly to the page in Step 4.

    1. Select Service

    Select the service to use, and then click the [Agree to Terms and Conditions] button.

    WORKPLACE service

    • WORKPLACE Lite: It provides Approval, Member, and Admin services. It is suitable for integrating various other solutions with the Member service of WORKPLACE.
    • WORKPLACE Basic: It provides various collaboration features and management operation services, such as Member, Post, Reservation, Attendance, Electronic Tax Invoice, Expense, Accounting, Budget, and Service Connector, based on Approval.
    • HR services (When subscribing to WORKPLACE Basic): It provides Payroll and Pledge services for professional HR management.
    • Finance services (When subscribing to WORKPLACE Basic): It provides Expenditure and Sales services necessary for managing corporate resources.
    Note
    • If the Region and country selected when subscribing to NAVER Cloud Platform are not Korea, then specialized services are not displayed.
    • A 30-day free trial is provided for newly subscribed specialized services. After the free trial period, the fees are charged normally based on the number of registered employees.
    • To use features like Mail, Messenger, Drive, etc., in combination with NAVER WORKS, select the WORKPLACE service and click the [View More] button on the NAVER Cloud for SMARTWORK banner at the bottom of the page to open the Bundle Subscription Page. To request the bundling service, see Getting Started With and Using SMARTWORK.
      • Subscribers whose Region and country upon NAVER Cloud Platform subscription are not Korea can only subscribe to WORKPLACE and can't subscribe to NAVER WORKS or SMARTWORK.
      • If the Region and country selected when subscribing to NAVER Cloud Platform are not South Korea, then the NAVER Cloud for SMARTWORK banner is not displayed.
      • By bundling NAVER WORKS and WORKPLACE, you can use groupware programs like Mail and Messenger and unlimited data storage capacity.
      • If you are an existing customer of NAVER WORKS, then you can use the integrated login by integrating with NAVER WORKS from WORKPLACE Developers after subscribing to WORKPLACE. To integrate with NAVER WORKS through Developers, see SSO Settings.

    2. Agree to Terms and Conditions

    Read the Terms and Conditions, agree to them, and then click the [Enter Basic Information] button.

    3. Enter Basic Information

    Enter the basic information of the company, and then click the [Enter Admin Information] button.

    • Access URL: Enter the company ID to be used as the WORKPLACE access URL.
    • Country: The country registered when subscribing to NAVER Cloud Platform is automatically selected.
      • If the country you entered when signing up and the country of business place are different, then you can change it.
    • Time Zone: Select the time zone of the country where the business place is located.
    • Default Language: Select the language to be used as the default language. Languages provided include Korean, Japanese, English, Chinese (Simplified), and Chinese (Traditional).
      • The default language is the language used by default in WORKPLACE. Users can select the language to be used in the WORKPLACE login page or My Information > Preferences.
    Note

    Specialized services are only available if the Region and country entered when signing up for NAVER Cloud Platform are Korea. If you selected specialized services in 1. Select Product, then Korea for Country, GMT+09:00 (Seoul) for Time Zone, and Korean for Default Language are selected and can't be changed.

    4. Enter Admin Information

    Enter the information of the admin, and then click the [Complete Request] button.

    • Since the email address entered as the login ID is used to set WORKPLACE login ID and password and receive WORKPLACE approval and notice emails, it is recommended to use the email address used for work as the ID.
    • Upon completion of request, a guide email is sent to the WORKPLACE admin's email address. A guide video is provided to help you set up the basic settings.

    5. Complete Request

    Check the details, and then click the [OK] button.

    • To directly access WORKPLACE PC web, click the [Go to WORKPLACE] button.

    Switch to Paid Plan

    Once the free trial period expires, you can no longer log in to WORKPLACE, and all data stored in WORKPLACE will be deleted. For the safe data management, switch to a paid plan before the 30-day free trial period expires. The email notifying the paid plan switch is sent out 7 days and 1 day before expiration of the free trial period.

    WORKPLACE paid plans can be affordable because the fees are charged on a monthly or yearly basis by prorating the number of subscribed employees.

    The following describes how to make a reservation to switch to a paid plan.

    Note

    See Services for more information o service types.

    1. From the NAVER Cloud Platform console, click the Services > Business applications > WORKPLACE menus, in that order.
    2. Click the My Products menu.
    3. Click the [Switch to Paid Plan] button.
      • You must register a payment method in order to switch to a paid plan. If the Register Payment Method pop-up window appears, then click the [Register] button and register the payment method as guided on the page.
    4. Set the pricing plan and reservation date.
      • The reservation date is automatically designated as the free trial expiration date. If you want, then you can designate the reservation date to be earlier than the automatically designated date.
    5. Click the [Switch to Paid Plan] button.
      • When the request for switching is completed, a notification email is sent to the admin, and the fees are charged starting on the switch date.
      • To change the pricing plan or reservation date, click the [Edit Switch to Paid Plan] button and change before the reservation date.
      • To cancel switching to a paid plan, click the [Cancel Switch to Paid Plan] button and cancel before the reservation date.

    Unsubscribe

    You can cancel the WORKPLACE subscription from the NAVER Cloud Platform console.

    The following describes how to unsubscribe from the service.

    Caution
    • Once you cancel WORKPLACE, all user logins for WORKPLACE will be restricted, and all stored data will be permanently deleted.
    • If you cancel a paid service, then a cancellation fee may be charged, depending on the conditions.
      • There is no cancellation fee for monthly pricing plans.
      • No cancellation fee is charged if you cancel the annual pricing plan within 7 days after switching to the paid plan. If canceled after 7 days, then a cancellation fee may occur, depending on the terms defined in the NAVER Cloud Platform WORKPLACE Terms and Conditions.
    1. From the NAVER Cloud Platform console, click the Services > Business applications > WORKPLACE menus, in that order.
    2. Click the My Products menu.
    3. Click the [Unsubscribe] button.
    4. Select the unsubscribe method.
      • Reserve Unsubscribe: The calendar is activated when you reserve unsubscribe. Select the date you want to unsubscribe.
        • You can use it until the selected contract end date.
        • You can cancel the cancellation reservation until the completion of cancellation.
        • You can use the service by the contract end date. You'll be unsubscribed at midnight of the scheduled unsubscribe date.
      • Unsubscribe Immediately: For Unsubscribe Immediately, the usage of WORKPLACE is disabled immediately.
    5. For annual plans, check your penalties.
      • For annual plans, a penalty is displayed if you're unsubscribing within the contract period. A 10% penalty for the amount that was discounted and to be used for the remaining contract period will be billed as the penalty. If you want to unsubscribe without penalty, set the cancellation date as the day after the contract end date.
    Note
    • If you cancel services during the free trial period, then your subscription is canceled immediately, and all data will be permanently deleted.
    • You can subscribe again immediately after canceling services.
    • To only cancel specialized services, see Cancel Specialized Services.

    Access PC Web and Initial Admin Settings

    You can use WORKPLACE on PC web after subscribing on the NAVER Cloud Platform console.

    Access PC Web

    The following describes how to access the WORKPLACE PC web.

    1. Enter the WORKPLACE access URL (http://CompanyID.ncpworkplace.com) for the company on a web browser to access.

      • You can check the URL in the WORKPLACE guide email.
    2. Enter the login ID in the email form and password, and then click the [Login] button.

      • If the concurrent web access limit has been set (Manage Access), a notification pop-up window opens when the number of access limit is exceeded. Select whether to log in from the pop-up window.
        • Maintain Existing Connection: Does not log in, and maintains the login of existing sessions.
        • Log In: Logs in, and automatically logs out the oldest session from existing sessions.
    Note

    In case of the SSO integration service in the SP method, you can't set the concurrent web access limit, so you'll be logged in normally.

    Note

    The NAVER Cloud Platform admin can go to the login window of WORKPLACE company URL (http://CompanyID.ncpworkplace.com) by clicking the [Go to WORKPLACE] button in the Services > Business Applications > WORKPLACE > My Products menu of the NAVER Cloud Platform console.

    Log in With Easy Login Method

    When the easy login method is set to be used, the [Log in With Mobile Phone Number] button is displayed.

    The following describes how to log in with the mobile phone number.

    1. To login with the mobile phone number, you can use it after setting the mobile phone number authentication and connection in the [My Information] > [Manage Access] menu. For the connection method, see Manage Access.
    2. In the Login page, click the [Log in With Mobile Phone Number] button and enter the set mobile phone number.
    3. Click the [Send Verification Code] button.
    4. Enter the received verification code.

    Initial Settings of Admin (WORKPLACE Lite)

    The following describes how to set the initial settings on PC web when using WORKPLACE Lite.

    1. Click the [Start Easy Settings] button.
    2. Enter the organization chart setting information, and then click the [Next Stage] button.
      • Click the [Add Department] button to add departments.
      • Up to 3 departments can be added in the easy setting stage, and you can add more in the Member > Organization Information > Manage Organization Chart menu later.
    3. Enter the employee information, and then click the [Next Stage] button.
      • Click the [Add Employee] button to add employees.
      • Up to 3 employees can be added in the easy setting stage, and you can add more in the Member Service > Member > Manage Employee menu later.
    4. Set the approver, and then click the [Complete Settings] button.
      • The initial settings will be saved.
      • Click the [Start] button to open the My Board page.

    Initial Settings of Admin (WORKPLACE Basic)

    The following describes how to set the initial settings on PC web when using WORKPLACE Basic.

    1. Click the [Start Easy Settings] button.
    2. Enter the organization chart setting information, and then click the [Next Stage] button.
      • Click the [Add Department] button to add departments.
      • Up to 3 departments can be added in the easy setting stage, and you can add more in the Member > Organization Information > Manage Organization Chart menu later.
    3. Enter the employee information, and then click the [Next Stage] button.
      • Click the [Add Employee] button to add employees.
      • Up to 3 employees can be added in the easy setting stage, and you can add more in [Member Service] > Member Information > Manage Employee later.
    4. Set the approver, and then click the [Next Stage] button.
    5. Select the annual leave standard, and then click the [Next Stage] button.
    6. Select the work arrangement, and then click the [Next Stage] button.
    7. Enter the accounting standard information, and then click the [Complete Settings] button.
      • The initial settings will be saved.
      • Click the [Start] button to open the My Board page.

    Install Mobile App and Check Access

    You can use WORKPLACE on the mobile app after subscribing on the NAVER Cloud Platform console.

    Install Mobile App

    The following describes how to install the WORKPLACE mobile app.

    1. Use the camera feature of your mobile phone to scan the QR code appropriate for the mobile phone OS in use.

      • The QR code for installing the mobile app is included in the WORKPLACE guide email.
    2. When the installation page appears, follow the instructions on the page and complete the installation of the app.

    Access Mobile App

    The following describes how to access the WORKPLACE mobile app.

    1. Tap WORKPLACE from the app list on the mobile phone.

    2. Enter Login ID and Password, and then tap the [Log In] button.
      • The ID and password as identical to the ones used on PC web.
    Note

    When the easy login method is set to be used by the admin, the [Log in With Mobile Phone Number] button is displayed. See Log in With Easy Login Method of Access PC Web.

    Consent to Collection and Use of Location Information

    If a company using the Attendance service sets to enable mobile clock-in/out check within the specified radius range, then the Consent to Use of Location Information Notification window appears.
    To check clock-in/out using mobile phones, you must consent to the use of location information one time when using for the first time.

    Check the details in the Notification window, and then click the [Approve] button.

    Note
    • For the Terms and Conditions of WORKPLACE Location Based Service, see Terms and Conditions of NAVER Cloud Platform Location Based Service.
    • Reason for receiving consent to the use of location information in WORKPLACE: When using the mobile clock-in/out feature of attendance management, clock-in/out location information is collected from the mobile devices of employees. Therefore, pursuant to Article 18 Paragraph 1 of the Act on the Protection, Use, etc. of Location Information, you must receive consent to the collection of personal location information from the location information subjects. Employees are required to consent to the Terms and Conditions of Location Based Service one time when running the app for the first time.

    Access WORKPLACE From NAVER WORKS Mobile App

    Users who use the SMARTWORK service that bundles NAVER WORKS and WORKPLACE can directly use WORKPLACE on the NAVER WORKS mobile app.

    The following describes how to access WORKPLACE from the NAVER WORKS mobile app.

    1. Access NAVER WORKS Admin on a PC.
    2. Click the Default Environment > Customized Settings menu.
    3. Click the [Mobile App] tab.
    4. Click the [Add] button in the Icon Menu area.
    5. Enter the information in the Add Icon Menu pop-up window, and then click the [Confirm] button. For more details about registering additional icon menu, see Register Additional NAVER WORKS Icon Menu.
      • Menu Name: It is the menu name to be displayed. Enter "WORKPLACE."
      • Connection Target: Select the target to be directed to when clicking the icon, and enter the information.
        • "Another App": It is a method that opens the WORKPLACE app if the WORKPLACE app is installed on the mobile device and opens the installation page when it's not installed. You must select at least one between iOS and Android.
          • iOS:
            • Click the [Upload] button to select an icon image. Download it from the following link and upload it.
            • Select the URL scheme by clicking "Universal Link," and then enter ncpw-app://{CompanyID}.ncpworkplace.com.
            • Enter https://itunes.apple.com/app/workplace/id1284108139 in the "Install URL" field.
          • Android:
            • Click the [Upload] button to select an icon image. Download it from the following link and upload it.
            • Select the URL scheme by clicking "Universal Link," and then enter NCPW-APP://{CompanyID}.ncpworkplace.com.
            • Enter "com.nbpcorp.ncp.workplace" in the "Package Name" field.
            • Enter https://play.google.com/store/apps/details?id=com.nbpcorp.ncp.workplace in the "Install URL" field.
        • "Mobile Website": It is a method that opens the website from the default browser of the mobile device.
    6. Access the NAVER WORKS mobile app on a mobile device.
    7. Tap the View More menu in the bottom menu.
    8. Tap the WORKPLACE icon added.
      • You can access WORKPLACE through the app or connected company domain.

    Log in to WORKPLACE Through SSO Integrating With Other Services

    Customers who use WORKPLACE Developers can access WORKPLACE by setting SSO integration with other services in use or use WORKPLACE without logging in separately. For the SSO integration settings, see SSO Settings.

    When accessing WORKPLACE company URL (http://CompanyID.ncpworkplace.com)

    It directs you to the login page of other services (e.g., Google, company's corporate information system). You can use WORKPLACE after logging in to other services.

    When accessing through the WORKPLACE basic URL (https://www.ncpworkplace.com/authn/login/introLogin)

    1. Click the [SSO Integration Settings] button at the bottom of the login page.
    2. Enter the company ID, and then click the [Log In] button.
      • It directs you to the login page for other integrated services (e.g., Google, company's corporate information system).
    3. Log in to the login page of other integrated services.
      • You can use WORKPLACE after logging in to other services.

    Maintain Login Status

    You can maintain the user login status of WORKPLACE. The login status is maintained for 24 hours on a PC and 30 days on a mobile device.

    If the login status is not maintained, then the following method is taken to maintain the login status.

    1. Check if the browser has been set to use cookies.
      • Cookies can be deleted by some antivirus programs and related software programs.
    2. If the browser is set to use cookies, then delete the browser cache.
    3. Access WORKPLACE and save the login password on the browser.
    4. Use the same browser and access to WORKPLACE.
    Note

    If the password is changed, all sessions will be automatically logged out, except for the authentication session of the currently accessing browser.

    Reset Password

    If you forget the password set, then you can reset your password and request the admin to reset the password.

    The following describes how to reset the password.

    1. Enter the WORKPLACE access URL (http://CompanyID.ncpworkplace.com) for the company on a web browser to access.

      • You can check the URL in the WORKPLACE guide email.
    2. In the Login page, click the [Reset Password] button.

    3. In the Reset Login page, enter the name and login ID.

    4. Select the authentication method, and then click the [Send Authentication Email] or [Send Authentication Code] button.

      • Search by Email: The authentication email is sent to the email address entered when adding the employee.
      • Search by Mobile Phone Number: Enter the mobile phone number entered when adding the employee. The authentication code will be sent to the mobile phone number.
        • If you haven't received the authentication code, then click the [Resend Authentication Code] button.
      Note

      If you can't find the password using the email address or mobile phone number, then contact the admin.

    5. If you selected Search by Email, click the [Email Authentication] button in the email received.

    6. If you selected Search by Mobile Phone Number, enter the authentication code, and then click the [Confirm] button.

    7. Enter new password in the Set New Password page, and then click the [Confirm] button.

      • Go to the login page.

    Find Company ID

    If you lost the company ID, then you can check the company ID through Find Company ID.

    The following describes how to check the company ID.

    1. Access WORKPLACE (www.ncpworkplace.com).

    2. In the Enter Company ID page, click the [Find Company ID] button.

    3. In the Find Company ID page, enter the name and login ID.

    4. Select the authentication method, and then click the [Send Authentication Email] or [Send Authentication Code] button.

      • Search by Email: The authentication email is sent to the email address entered when adding the employee.
      • Search by Mobile Phone Number: Enter the mobile phone number entered when adding the employee. The authentication code will be sent to the mobile phone number.
        • If you haven't received the authentication code, then click the [Resend Authentication Code] button.
      Note

      If you can't find the company ID using the email address or mobile phone number, then contact the admin.

    5. If you selected Search by Email, click the [Email Authentication] button in the email received.

      • You can check the company name, company ID, and login ID.
      • To log in, click the [Log In] button at the top of the page or click the [Log In] button displayed next to the login ID.
    6. If you selected Search by Mobile Phone Number, enter the authentication code, and then click the [Confirm] button.

      • You can check the company name, company ID, and login ID.
      • To log in, click the [Log In] button at the top of the page or click the [Log In] button displayed next to the login ID.

    Additional Authentication Login

    You can enhance personal information protection and data security by applying two-factor authentication when accessing related menus.
    The following are login pages to which additional authentication is applied.

    • User page: when clicking the [Edit] button in the My Information page, the [Edit] button in the Manage Payroll Account page, and the [Edit] button in My Board > Manage Payroll page
    • Admin page: when accessing the management menus set to use two-factor authentication (Set in Admin > Security > Manage Two-factor Authentication)

    The following describes the additional authentication login method.

    1. Select an authentication method between email or mobile phone number in the additional authentication login page.
      • An email authentication page is open by default. Click the [Verify With Mobile Phone Number] button for mobile number authentication.
    2. Authenticate according to the selected authentication method.
      • Email authentication is a method of authenticating with the Email item input to Member Information.
        • An email (business) address of the member is entered and displayed (partially masked).
        • Click the [Send Verification Code] button to send the verification code to the email address. Open your email to check the verification code and input the verification code to the input area. Click the [Resend Verification Code] button to receive the verification code again.
      • Mobile phone authentication is a method of authenticating with the Mobile Phone number input to Member Information.
        • A mobile phone number of a member is input and displayed (partially masked).
        • Click the [Send Verification Code] button to send the verification code to the mobile phone. Check the verification code and enter it in the verification code input area. Click the [Resend Verification Code] button to receive the verification code again.
    3. Click the [Log in] button.
      • Two-factor authentication login is completed.
    Note

    When the email address or mobile number has changed, edit in My Information or request the Member admin to edit to smoothly receive authentication information.
