    Linking Organization

    Organization linkage is a work to synchronize the company's organization and employee information with the organization information in WORKPLACE. You can link employee information that comprises properties of employees, such as employment type, job title, job position, business place, department, employee number, additional information, and leave type. When organization linkage is completed, changes in organization and employee information in the company' corporate information system are automatically updated in WORKPLACE without requiring additional change works.

    Proceed with organization linkage according to the following procedure.

    1. Importing Legacy Information

    You can easily perform the organization linkage work by importing the basic information from the corporate information system (Legacy) to WORKPLACE in advance.
    Import the information from the corporate information system to WORKPLACE by referring to Import Data.

    2. Developers Linkage Settings

    If you imported information from the corporate information system to WORKPLACE, you must set linkage of each information item in WORKPLACE Developers.

    The following shows how to set up linkage for each item.

    Note
    • Items set for linkage in Developers can only be viewed in the Basic Information Settings screen of WORKPLACE. The Add/Delete/Change Order/Save/Cancel button is not displayed in the screen. For display changes by link, refer to Display and Feature Changes by Link.
    • Add, edit, or delete details of linked items in the corporate information system.
    1. From the NAVER Cloud Platform console, click the Services > Business Applications > WORKPLACE menus, in that order.
    2. Click the Developers menu.
      • If the notification pop-up window appears, check details in the pop-up window and click the [Close] button.
    3. Click Link Organization, and then click the item to be linked.
      • Employment Type, Job Title, Job Position, Department, Employee, and Reports To items can only be linked if Appointment Use Status is set to Not Use in the Settings > Member Settings menu of the Member service. (Refer to Member Settings)
      • Leave Type item is only displayed if Appointment Use Status is set to Use in the Settings > Member Settings menu of the Member service. (Refer to Member Settings)
    4. Select On for Linkage Settings.
      • The following items are displayed automatically based on the items that are set to be linked.
        • Employment type, job title, and job position information in the Member > Settings > Basic Information Settings menu
        • Additional information in theMember > Settings > Additional Information Settings menu
        • Employee information in the Member > Manage Account menu
        • Employee number information in the Member > Settings > Manage Employee Number menu.
        • Department information in the Member > Organization > Manage Organization Chart menu
        • Business place information in the Admin > Company Information > Manage Business Place menu
      • Data of items that are set to Not Use in Settings > Basic Information Settings of the Member service or set to Use but have no information entered are not displayed.
    5. Map the external key using the following method.
      • Click the Excel template file by clicking the [Download Template File] button, enter the content into the External Key column of the Excel file, and upload the file by clicking the [Upload File] button.
      • If you selected Reports To or Employee Number in Step 3, skip this step.
    6. If you selected Employee Number in Step 3, select whether to grant employee numbers automatically and set the automatic granting rule. Then click the [Apply] button.
      • If you selected items other than Employee Number in Step 3, skip this step.

    3. Batch Works

    If you linked organization information between the corporate information system and WORKPLACE, synchronize by performing batch work on each item using API.

    Note

    Run batch works daily in the order of "Business Place > Employment Type > Job Title > Job Position > Department > Employee > Additional Information." When batch works fail in each step, apply the rollback process according to the company's policy. However, proceed with the batch work if only a part of the work (part of organization) fails within one step. Stop the batch work if the whole step (whole organization) fails.
