Available in Classic and VPC

In the Part-timer menu, you can add part-time employees other than regular employees (employees added in the Member > Manage Employee menu), as well as manage their accounts and contract information. You can register and manage part-timer workplace, and set a workplace manager to manage part-time employees belonging to the workplace. (Refer to Management) In addition, the payroll can be settled based on the registered contract information or attendance information, and you can open the settled payroll statement part-time employees.

Note
  • Part-timer menu is only displayed if the use status of part-timer is set to Use in the Set > Set Member menu. (Refer to Set Member)
  • For details about leaves and attendance of part-time employees, refer to Work or Absence.

Manage Workplaces

You can add and manage part-time employees' workplace in the Manage Workplace menu. You can also download the list of workplaces as an Excel file.
As you can register a part-time employee only when there is a registered workplace, register a workplace before registering a part-time employee.

The Manage Workplace screen is laid out as follows.

Add Workplaces

The following describes how to add workplaces.

  1. In the WORKPLACE PC Web screen, click [All Services] > [Member] button.

  2. Click Part-timer > Manage Workplaces menu.

  3. Click the [Add] button.

  4. Enter the workplace information.

    • Enter a workplace's name.
    • Search and select an employee to be designated as a manager in the workplace.
    Note

    When the company uses the Accounting service and adds a workplace for the first time, you can easily add the workplace by clicking [Import Business Place Information]. Select a business place to add it as a workplace. The entered workplace information is not automatically reflected in the business place management information.

  5. Click the [Save] button.

    • The workplace is added.
Note
  • An employee designated as a manager in the workplace can search information of part-time employees in My Board's Management menu. (Refer to Part-timer Status)
  • Each workplace requires a manager. When a manager retires, a new manager registration request mail is sent to the member admin.

Edit Workplace

The following describes how you can edit workplaces.

  1. In the WORKPLACE PC Web screen, click [All Services] > [Member] button.
  2. Click Part-timer > Manage Workplaces menu.
  3. Click workplace_edit of the workplace to be edited.
  4. Apply the edited content, and then click the [Edit] button.
    • The edited information is saved.

Delete Workplace

Note

The workplace can't be deleted if a part-time employee is assigned to the workplace. You must change the workplace of part-time employees belonging to the workplace to be deleted before deleting that workplace.

The following describes how to delete a workplace.

  1. In the WORKPLACE PC Web screen, click [All Services] > [Member] button.
  2. Click Part-timer > Manage Workplaces menu.
  3. Click workplace_delete of the workplace to be deleted.
  4. Check the details in the pop-up window, and then click the [OK] button.
    • The workplace is deleted.

Download the workplace list

The following describes how to download the workplace list as an Excel file.

  1. In the WORKPLACE PC Web screen, click [All Services] > [Member] button.
  2. Click Part-timer > Manage Workplaces menu.
  3. If necessary, enter the workplace conditions to be searched in the search window, and then click the [Search] button.
    • You can view the workplaces that match the entered conditions.
  4. Click the [Download] button.
    • The workplace list is downloaded as an Excel file.
Note

The downloaded file is saved as [YYYY-MM-DD]partTimePlace.xlsx in the Downloads folder.

Manage Part-time Employees

In the Manage Part-time Employees menu, you can add and manage part-time employees. You can also search and view part-time employees by condition and download the part-time employee list as an Excel file.

The Manage Part-time Employee menu is laid out as follows.

  • Indicate "[Pending]" in front of the name of a part-time employee whose contract start date has not yet begun
  • Only view employees whose contract expired Displays part-time employees whose contract expired in the list when selected
  • Indicates "[End]" in front of the part-time employee's name whose contract expired
  • ⑥ Number of Displayed Items Set the number of part-time employees to be displayed on a single page of the list
    Note

    An advance notice of contract termination mail is sent to the member admin the day before the date of contract termination. From the day after the contract termination date, the part-time employees can't access the WORKPLACE system.

    Add and invite part-time employees

    The following describes how to add part-time employees and invite them to WORKPLACE.

    1. In the WORKPLACE PC Web screen, click [All Services] > [Member] button.

    2. Click the Part-timer > Manage Part-time Employees menu.

    3. Click the [Add] button.

    4. Enter the part-time employee information.

      • Enter the Login ID in a mail format. However, if the company uses the NAVER WORKS Lite group name, enter it with at least 2 English letters, numbers, and special characters (.-_!).
      • You can enter the login ID and mail differently when WORKPLACE is used alone. To use the same mail as the login ID, select Save Login ID as Mail.
        • When combined with NAVER WORKS Basic or Premium Pricing Plan for use, Save Login ID as Mail is displayed as disabled and selected, and the same Email address as the login ID is automatically entered in the mail field.
      • If the company uses Part-timer payroll Management, then the date of contract start and the date of contract end are used to calculate the contract period. This is then applied to the payable items and deductible items by contract type.
      • As for hourly wage, Korean won is applied according to the reporting currency.
      • The payroll can't be settled if the hourly wage information is not set.
      • Enter an amount that does not include the weekly holiday allowance for hourly wage. The weekly holiday allowance is calculated separately according to the contract information of the part-time employee and the company's weekly holiday information.
      • Daily work hours are used for payroll calculations as the part-timer's contract information.
      • Part-time employees who work more than 15 hours a week are given a weekly day off, and the weekly holiday allowance is paid, even when the employee does not work on holidays.
      • When setting workdays, you can't select days designated as weekly holiday. Workdays are used for payroll calculations as the part-time employee's contract information.
      • Click [Check Deductible Items] button to check the deductible items by contract type. (Refer to Table of Condition/Payment/Deduction Items by Part-timer Contract Type)
        • Clicking the [Check Deductible Items] button will display the Average Monthly Remuneration item.
        • Depending on the contract type, the applicable deductible items (national pensions/health insurance/long-term care insurance/employment insurance/earned income tax/local tax) are checked, and not-applicable deduction items are displayed in gray.
        • In case of day labor (contract period of less than one month, daily wage of over 150,000 KRW, and days of work of less than 60 hours per month), when calculating the income tax, the simplified tax rate table is applied in the same way as for regular employees. Please note that daily earned income withholding tax amount is not calculated.
      • Average monthly remuneration is used to calculate the National Pension premium, so please enter it excluding the exempt from taxation.
        • Enter the total amount of remuneration for the previous year divided by the number of work months if the contract start date is before October of the previous year.
        • In other cases, enter the amount obtained by dividing the total amount of remuneration determined to be paid for one year from the contract start date (in case that the contract period has been set to less than one year, the contract period). (If there are fewer than 20 workdays in the month to which the contract start date belongs, then exclude that month.)
      Note

      Input items and required input items can differ according to the Member Settings or Basic Information Settings. (Refer to Member Settings and Basic Information Settings)

    5. Click the [Save] button.

      • To cancel adding a part-time employee, click the [Cancel] button.
    6. Select how to set initial password, and then click [OK] button.

      • Set by User: Enter the Email address to receive the invitation mail and an instruction mail will be sent to that address on the contract start date. The part-time employee must set their password directly from the link in the instruction mail.
      • Set by Admin: The admin sets the initial password. The admin shall pass the initial password they set to the part-time employee, and the part-time employee must change the password when they first log in to WORKPLACE.
    Note

    Search and manage part-time employees in detail

    Clicking workplace_detail of a part-time employee you want to search and manage in detail in the part-time employee list, will display detailed employee information, workplace and manager information on the employee's details screen. On this screen, you can edit or print the created information of the part-time employee, and add the part-time employee with the same information as contract information by copying it.

    Edit Part-time Employee Information

    1. Click workplace_detail of the part-time employee whose information will be edited in the part-time employee list.
    2. Make the necessary changes.
      • To edit the deactivated item, click workplace_edit.
      • Changing the contract start date may affect the part-time employee's leave accruals.
      • The part-time employees whose contract is terminated can only change their login ID and contract end date. However, the termination date can't be modified if there is an invalid information among entered information.
      • If the contract termination date is changed to today or any date before today, then the status may be changed to that of immediate termination, in which case the part-time employee can't use WORKPLACE.
      • If the contract start date, contract termination date, hourly wage, daily work hours, and workdays are modified, then they are applied from the next payroll settlement (recalculation).
      • If the contract start date, contract end date, hourly wage, daily work hours, and workdays are modified, then the deductible items must be checked again.
    3. Click the [Save] button.
      • The edited information is saved.

    Print Part-time Employee Information

    1. Click workplace_detail of the part-time employee whose information will be printed in the part-time employee list.
    2. Click the [Print] button.
    3. When a Print pop-up window appears, check the details to be printed and click the [Print] button.

    Copy Part-time Employee's Contract Information

    1. Click workplace_detail of the part-time employee whose contract information will be copied in the part-time employee list.
    2. Click the [Copy Contract Information] button.
    3. Click the [OK] button.
      • Open the Add Part-timer screen where the contract information same as the copied part-timer contract information is reflected.
    4. Add a part-time employee by referring to Add Part-time Employee.
      • The part-time employee is added with the copied contract information.

    Delete Part-time Employees

    The following describes how to delete a part-time employee.

    1. In the WORKPLACE PC Web screen, click [All Services] > [Member] button.
    2. Click the Part-timer > Manage Part-time Employees menu.
    3. Click workplace_delete5 of the part-time employee to be deleted.
    4. Click the [Yes] button.
      • The part-time employee will be deleted.

    Download List of Part-time Employees

    The following describes how to download the part-time employee list as an Excel file.

    1. In the WORKPLACE PC Web screen, click [All Services] > [Member] button.
    2. Click the Part-timer > Manage Part-time Employees menu.
    3. If necessary, enter the part-time employee conditions to be searched in the search window, and then click the [Search] button.
      • You can view the details of part-time employees that match entered conditions.
    4. Click the [Download] button.
      • The list of part-time employees is downloaded as an Excel file.
    Note

    The downloaded file is saved as [YYYY-MM-DD]parttime_members.xlsx in the Downloads folder.

    Manage Payroll Statement

    In the Manage Payroll Statement menu, you can check the payroll statement, and search and view the payroll statement by conditions. You can also download the list of payroll statements as an Excel file.

    Note
    • The Manage Payroll Statement menu is only displayed when settings are as follows in Set > Set Member. For detailed settings, refer to Set Member.
      • In case that Use Status of Part-timer is set to Use
      • In case that the use status of Set Part-timer payroll to Use and the reporting currency is KRW
    • The payroll statement is displayed in the list of payroll statements only when the payroll settlement is confirmed in the Settle payroll menu. For more information, refer to Settle payroll.

    The Payroll Statement screen is laid out as follows.

    View Payroll Statement

    The following describes how to view the payroll statement for a confirmed settlement month.

    1. In the WORKPLACE PC Web screen, click [All Services] > [Member] button.
    2. Click the Part-timer > Manage Payroll Statement.
      • The list of payroll statements for all part-time employees is displayed.
      • A payday in the most recently confirmed settlement month is displayed in Payday.
        • If March payroll is confirmed, then the payday is displayed as the date set by the company (Apr. 10)
        • If the payroll of the confirmed month is settled again by importing the payroll history on the payroll settlement screen, then it is deleted from the payroll statement management list
    3. To view details in the payroll statement, click workplace_detail.
      • Clicking the [Print] button will print the detailed history of payroll statements.

    Download List of Payroll Statements

    The following describes how to download the list of payroll statements as an Excel file.

    1. In the WORKPLACE PC Web screen, click [All Services] > [Member] button.
    2. Click the Part-timer > Manage Payroll Statement.
    3. If necessary, enter the payroll statement conditions to be searched in the search window, and then click the [Search] button.
      • You can view the payroll statements that match the entered conditions.
    4. Click the [Download] button.
      • The list of payroll statements is downloaded as an Excel file.

    The downloaded file is saved as [YYYY-MM-DD]parttime_pay.xlsx in the Downloads folder.

    payroll settlement

    In the Payroll Settlement menu, you can settle the payroll and edit the payroll to be settled. You can also search and view the payroll history by condition before confirming the settlement, as well as download the list of payroll settlements as an Excel file.

    Note

    The Payroll Settlement menu is only displayed when settings are as follows in Set > Set Member. For detailed settings, refer to Set Member.

    • In case that Use Status of Part-timer is set to Use
    • In case that the use status of Set Part-timer payroll to Use and the reporting currency is KRW
    • You can settle the previous month's payroll after the first day of each month. If the previous month's payroll is not settled, then it is possible to settle and confirm it, even if the payday has passed.
    • The target of payroll settlement is all part-time employees whose contract period includes the previous month. They also include employees whose contract will be terminated during the month.
    • It is calculated automatically using the calculation formula by reflecting the item values set in the Set Part-timer payroll from the point of payroll settlement (recalculation), along with the work status information (when using Attendance service) and contract information (daily work hours/ workdays). Settle the payroll after closing the previous month's work information.

    The following describes how to settle and confirm the payroll.

    1. In the WORKPLACE PC Web screen, click [All Services] > [Member] button.
    2. Click the Part-timer > Settle payroll menu.
    3. After select year and month you want to settle the payroll, click the [Settle payroll] button.
    4. Check the details in the Settle payroll pop-up window, and then click the [Yes] button.
      • By default, the previous month is displayed. Settle the Previous Month settles payroll from the 1st to the last day of the month, which is displayed from the 1st of the current month.
      • When selecting a month that has already settled, the payroll statement of that month is deleted in the Manage Payroll Statement menu, and you can handle settlement again by importing the existing settlement history on the settlement screen.
    5. Check the settled payroll history and edit it if necessary.
    6. When completing to check and edit, click the [Confirm] button.
      • To cancel settlement, click the [Cancel Settlement] button.
      • To handle settlement again, click the [Re-settle] button.
    7. Specify the display settings, and then click the [Yes] button.
      • Payroll statement is displayed to part-time employees at the specified time on the pay day.
      • When selecting Not Display, the payroll statement will not be displayed to part-time employees, only viewed to the admin.
    Note

    If any changes to the confirmed payroll occur, select year and month you want to settle the payroll on the Select Settlement Period screen, and then click the [Settle payroll] button. You can import existing settlement history to change and resettle it again.
    In this case, the payroll statement displayed to part-time employees will not be searched, and the payroll statement will also be deleted on the admin's Payroll Statement Management screen.

    View and Edit Payroll Details

    You can edit the payroll details of the part-time employee by clicking workplace_edit on the Settle payroll screen.

    Note
    • For a part-time employee whose contract information required for payroll calculation is not registered, the workplace_edit button is disabled. In this case, enter the contract information in the Part-timer > Manage Part-time Employee menu, and then resettle the payroll.
    • The admin can manually edit the payment information and deduction information, but the edited details are not calculated automatically with the calculation formula.
    • For settlements reflecting the contract information, you can manually enter the allowance for night work, overtime work, and holidays on the payroll Details screen. However, the four major insurances will not be calculated automatically for the manually entered details.

    The payroll Details screen is laid out as follows.

    Area Description
    ① Calculation Standard
  • If work arrangement is assigned over the whole settlement period ( 1st day to the last day), then the calculation is based on the work status by default, and Reflect Work Status is automatically displayed. Since there may be cases where clock-in/out records are not reflected in the work status, the admin shall review both the part-time employees attendance information and payroll history. If there is a difference, then the admin can resettle the payroll by selecting Reflect Contract Information
  • Even if Attendance is used, calculations are made by reflecting the contract information by default if the work arrangement is applied during the settlement period, and Reflect Contract Information is automatically displayed
  • In case that the attendance service is not used or there is no work arrangement at the time of settlement, payroll is calculated based on the contract information, and the drop-down box is not displayed
  • Re-settlement Resettle the payroll based on information selected by clicking the drop-down list
    ③ Basic information Display the settlement start date and end date, hourly wage, and work hour information (when reflecting work status) or contract information (when reflecting contract information)
    ④ Payment information
  • Basic payroll: Hourly Wage x Total Work Hours
  • Weekly holiday pay: General Hourly Wage x Weekly Holiday Hours (Part-timers who work more than 15 hours a week are given a weekly day off, and the weekly holiday allowance is the amount of a day's payroll paid separately. In case of employees joining or leaving during the week, they will be paid the daily-based calculated weekly holiday allowance.)
  • General work allowance: Regular Hourly Wage x Extended Work Hours x 1.5 (Allowance that must be paid for the overtime hours worked, based on the work hours of a week or a day)
  • Night work allowance: General Hourly Wage x Extended Work Hours x 0.5 (Allowance that must be paid for the night work hours)
  • Holiday work allowance: General Hourly Wage x Holiday Regular Hours x 1.5 + Regular Hourly Wage x Holiday Extended Hours x 2 + Regular Hourly Wage x Holiday Night Hours x 0.5 (Allowance that must be additionally paid when working on a day designated as a holiday)
  • Meal allowance: Displayed when setting to use the meal allowance in Set > Set Member. The meal allowance is exempt from taxation up to 100,000 KRW/month
  • Fixed allowance: displayed when setting to use the fixed allowance in Set > Set Member( Travel expenses)
  • Hover the mouse over the workplace_question_mark to display the calculation formula
  • ⑤ Deduction information Display deduction items and the amount applied according to part-time employees' contract type. If there are deductible items added in Set > Set Member, then they are additionally displayed. (For deduction items by contract type, then refer to Table of Condition/Payment/Deductible Item by Part-time Contract Type)
  • If the contract start date registered in Manage Part-time Employee is not the 1st of a month, then the national pension and health insurance items are displayed for the corresponding month but are applied as 0 KRW
  • The deductible amount is calculated automatically using a fixed formula
  • Cancel Cancel editing and open the Settle payroll screen
    Preview Preview the payroll statement that reflect the edited information
    Save Save the edited information

    • Calculation tip
      • General Hourly Wage: (Basic Allowance + Weekly Holiday Allowance + Fixed Allowance)/(Work Hours + Weekly Holiday Hours)
      • Weekly Hours Off: Weekly Contractual Work Hours X 8/40
    • Overtime, night work, and holiday work allowances are not applied additionally if Status of Business Place with Fewer than 5 People is set to Yes in Set Part-timer payroll of Set > Set Member.
    • The meal allowance and fixed allowance of employees joining the company during the month are provided in the ratio of workdays from the contract start date to the end of the month divided by the total days in the month.
    • The meal allowance and fixed allowance of employees leaving the company during the month are provided in the ratio of workdays from the 1st day to the contract end date divided by the total days in the month.

    Download List of Payroll Settlements

    'The following describes how to download the list of payroll settlements as an Excel file.

    1. In the WORKPLACE PC Web screen, click [All Services] > [Member] button.
    2. Click the Part-timer > Settle payroll menu.
    3. If necessary, enter the payroll settlement conditions to be searched in the search window, and then click the [Search] button.
      • You can view the details for the payroll settlement history that match the entered conditions.
    4. Click the [Download] button.
      • The list of payroll settlements is downloaded as an Excel file.
